Child Safe Michigan's Legends of Tomorrow Gala
Saturday June 3, 2017
The Townsend Hotel, Downtown Birmingham
 

Date:               Saturday, June 3rd

Volunteer Roles: 

* Lunch and dinner will be provided (as applicable to your shift) - you may also bring your own

Set Up

 You will be helping to set the event up. Placement of centerpieces on the tables, name cards, organizing registration, setting up posters, staging the room and placement of program books on corresponding tables.

 10 volunteers needed

 Attire: Casual and Comfortable

 Shift Times: 3PM – 7PM

 Registration

 When guests arrive, they will be greeted at the registration table to sign in. Registration will be organized by last name. Each person will be given a bidder card with their table number, bidder number and VIP status. You will be responsible for directing them to the VIP room (if applicable) and giving a brief rundown of the night. You will be the first point of interaction for our guests so bring your bubbliest personality for this task!

 8 volunteers needed

 Shift Time: 5PM – 8PM

  Raffle

 You will be selling raffle tickets in a team of two. Your team will be responsible for selling the ticket, filling out a paper receipt and taking payment via iPad or iPhone. This is a huge money maker for the event so if anyone has ever told you that you have the personality to “sell sand in a dessert” ---this job is for you!

 8 volunteers needed

 Attire: TBD

 Shift time: 5PM-8PM

 Auction Check Out

 You will be checking people out on the iPads during the raffle final call for tickets, the live auction and the take a stand. iPad operating instructions will be given to you ahead of time so you can practice on your own smart phone. Instruct all winners to pick up the auction packages at checkout.

 20 volunteers needed

 Attire: TBD

 Shift Time: 8PM-10PM

  Auction Package Pick Up

 You will be passing out auction packages to the winners. The higgest bidder will be asked to sign a form acknowledging pick up and you will be assisting.

 3 volunteers needed

 Attire: TBD

 Shift Time: 10PM-12Midnight

 Break Down

 You will be helping to break down the event. Taking down centerpieces, loading up cars with supplies, removing signage etc.

 6 volunteers needed

 Attire: Casual and Comfortable

Corporate Golf Challenge
Monday, July 10, 2017
Franklin Hills Country Club, Franklin, MI 

 

Location:              Franklin Hills Country Club: 31675 Inkster Rd., Franklin, MI 48025

Arrival:                 Please show up a minimum of 15 minutes before your start time.  Please account for traffic

Check-In:              See Peggy Kerr at the front of the main clubhouse when you arrive.

Meals:                   Food will be provided, lunch or dinner, according to your shift. No alcohol allowed.        

What to Wear:   Business casual, golf-inspired, weather appropriate clothes, comfortable shoes.

Non-Acceptable: Jeans, t-shirts of any kind, tank tops, cutoffs, short shorts, spandex or any kind of gym apparel.

Volunteers will be provided meals at the shifts they work.

 

Position description responsibilities and times: 

 

Raffle Prize & Registration Table Set-Up

Raffle Prize set up: need 2 volunteers  from 9:30am-11:00am

Registration Table set-up: need 2 volunteers from 9:30am-11:00am

Assist in all needs for registration and raffle prize table set up

·        

Help arrange all raffle prizes on table for display

·        

Help hang banners and place sponsor signage at registration

 

Registration Check-In

need 4 volunteers from 11:0am-1:30pm

·         

Welcome and greet guests at the registration table upon arrival

·         

Look for guests by Last Name or Company, if player name IS highlighted please have them fill out a registration sheet

·         

Each player is assigned a starting hole number and locker number

·         

Write the starting hole and locker number on the card and give to the player

·         

Inform them of the sale of 50/50 tickets and raffle tickets

 

50/50 Ticket Sales:

Need 2 volunteers from 11:00am-1:30pm

 Each 50/50 ticket is $50 and comes with three numbered golf balls

·         

When you sell a raffle ticket, record the ball numbers on the sheet and give the purchaser the raffle ticket

·         

Golf balls will be dropped from a helicopter before dinner at the 18th hole (approximately 6:30 p.m.)

·         

First ball in the hole or closest to it wins 50% of the total cash raised

·         

Golfers must be present to win

 

Hole-In-One Witnesses:

Need 1 volunteer at 9th Tee from 12:30-3pm

Need 1 volunteer at 9th Green from12:30 -3pm

Need 1 volunteer at 9th Tee from 3:00-6:00pm

Need 1 volunteer at 9th Green 3:00-6:00pm

Need 1 volunteer at 14th Tee from 12:30-3pm

Need 1 volunteer at 14th Green from 12:30-3pm

Need 1 volunteer at 14th Tee from 3:00pm-6:00pm

Need 1 volunteer at 14th Green from 3:00-6:00pm

Two Volunteers are needed for each H-I-O.  One at the tee off area and one at the hole

·         

Witnesses cannot be participants and must be 18+ years of age

·         

Mulligans or second shots cannot be used to win any hole-in-one prizes

 

 Raffle Ticket Sales at Hole

Need 2 volunteer at holes from 12:30-3:00pm

Need 2 volunteer at holes from 3:00-6:00pm

·        

Sell raffle tickets at Par 3 Hole, 1 for $25 or 5 for $100

·        

Explain to ALL Golfers their tickets will double if they hit their first shot onto the Green

·        

Split the raffle tickets, keep one set and give other set to golfers

·        

Winners will be announced after Dinner

 

 Snack Shack 50/50 Ticket Sales

Need 2 volunteers from 12:30-3:00pm 

Need 2 volunteers from 3:00pm-6:00pm

·        

Each 50/50 ticket is $50 and comes with three numbered golf balls

Sell tickets to all golfers who stop at the Snack Shack on the course

·         

Record the ball numbers on the sheet and give the purchaser the raffle ticket

Dinner/Cocktail Hour/Program Set up

need 2 people 3:00-5:30pm

Assist in setting the dinner tables with Judson Center information

Cocktail Hour set up tasks to be determined

Raffle Tickets Sales at Cocktail Hour

need 2 volunteers from 5:30-7:00pm

Sell tickets during cocktail hour on the Country Club Terrace 

1 volunteer need from 11:00am-8:00pm

Raffle Prize check out:

need 2 volunteers from 8:00 pm-9:00pm

 Match winning raffle numbers to golfers tickets to confirm winner

assist handing out winning raffle items to wining golfers after dinner

Assist photographer with developing team photos

Print all team photos at CVS drug store 2 miles from Country Club

·        

Stuff picture frames with team photos for golfer giveaways

Din Clean-up/Break-down

Need 4 volunteers  from 7:30-9:30pm

Assist Judson Center Team Members packing up event materials

Assist bringing raffle prizes over to check out area
